Personal data processed during the application process
By submitting an application through our recruitment website, you formally express your interest in employment with our organisation. In doing so, you transmit personal data, which we will exclusively use and store for the purpose of facilitating your job search and application process. The personal data collected for application processing includes information such as your name, contact details, professional background, education, and employment history. Additionally, it encompasses voluntarily provided information such as CVs, cover letters, references, or links to professional profiles, which may contain further personal data, including your address, date of birth, or other career-related details. Access to your personal data is restricted to authorised personnel directly engaged in the recruitment process. Kindly refrain from including sensitive information such as your Citizen Service Number (BSN) or a copy of your identification document in your application materials, as this information is not required until an employment contract is duly prepared.
Purpose and legal basis of processing
Your personal data shall be processed solely for the purpose of facilitating the recruitment process. This encompasses reviewing applications, evaluating candidates’ suitability for the position, communicating with applicants, and, where applicable, preparing and executing an employment contract. The processing of your personal data is grounded in Article 6(1)(b) GDPR, insofar as it is necessary to take steps prior to entering into an employment agreement, and on Article 6(1)(f) GDPR, based on our legitimate interest in conducting an efficient and lawful recruitment procedure. Where personal data is processed based on your consent, such as inclusion in a talent pool for future opportunities, the legal basis is Article 6(1)(a) GDPR. Any consent provided may be withdrawn at any time with effect going forward.
Data retention
Your personal data is stored only for as long as necessary to complete the recruitment process and to comply with applicable legal obligations. Typically, application data is retained for a period of 4 weeks after the conclusion of the application process. This retention period is primarily intended to fulfil statutory obligations and to defend against potential legal claims. After this period, your data will be deleted or anonymised. Anonymised data may be kept in aggregated form for internal statistical purposes. With your explicit consent, your application data may be retained for up to 12 months to include you in our talent pool for future vacancies. If you accept a position with us, the personal data collected during the application process will be incorporated into your personnel file and retained in accordance with applicable employment, tax, and social security laws.
Disclosure of data to third parties
Your application data is transmitted securely and stored in systems operated by external service providers who act as processors on our behalf within the meaning of Article 28 GDPR. We have concluded appropriate data processing agreements with such providers to ensure that your personal data is processed in accordance with GDPR requirements. Your personal data will not be disclosed to third parties for purposes unrelated to the recruitment process.
International data transfers
We store and process your personal data within the European Economic Area (EEA). Our recruitment software and data storage systems are hosted on servers located within the EU.
Rights of data subjects
During the processing of your personal data for the application process, you are entitled to the rights provided under Chapter III of the GDPR, in particular the right of access, the right to rectification, the right to erasure, the right to restriction of processing, the right to data portability, and the right to object to processing based on legitimate interests.
